1. Non-Conformance Report (NCR).


  1. Purpose: To document any instance where a product, process, or service does not meet the requirements, specifications, or contract conditions.
  2. Usage: When a defect, error, or deviation from the project specifications is discovered.
  3. Example: If construction materials do not meet quality standards, an NCR is issued to document the issue and take corrective actions.

2. Request for Information (RFI).


  1. Purpose: To request clarification or additional information related to the project, plans, specifications, or contract documents.
  2. Usage: When there is ambiguity or lack of information in the documents that needs clarification before proceeding.
  3. Example: A contractor requests the design team to clarify unclear structural details in the plans.


3. Request for Proposal (RFP).


  1. Purpose: To request detailed proposals from suppliers or contractors to provide services or products.
  2. Usage: In the procurement or contracting phase to select the appropriate service provider based on technical and financial proposals.
  3. Example: Issuing a request for proposals to a subcontractor for electrical work.


4. Request for Quotation (RFQ).


  1. Purpose: To obtain specific price quotations for certain products or services.
  2. Usage: When the specifications are known and the primary focus is on price.
  3. Example: Requesting a price quote for concrete materials needed for the project.


5.Change Order Request (COR).


  1. Purpose: To formally request a change in the scope of work, schedule, or cost.
  2. Usage: When there is a need to amend the original contract items or project plan.
  3. Example: A client requests the addition of extra work that was not part of the original scope.


6. Submittals.


  1. Purpose: Documents, samples, or data submitted by the contractor to the consultant or engineer for approval before use or installation.
  2. Usage: To ensure that the materials or products proposed meet the required specifications.
  3. Example: Shop drawings, material samples, or product catalogs.


7. Meeting Minutes and Action Requests.


  1. Purpose: To document discussions, decisions, and agreed-upon actions during meetings.
  2. Usage: To track tasks and follow up on the implementation of agreed actions.
  3. Example: Meeting minutes that include a directive to implement a design modification within a week.
